Product Enhancements
Smart Process Builder: AI-Powered Automation for Workflows
Building robust processes in Practifi just got easier. The new Smart Process Builder leverages advanced AI to transform plain-English descriptions into fully configured process flows. Describe your workflow, and Practifi will generate visual flowcharts, configure tasks with appropriate statuses and priorities and establish logical decision points. It even recommends industry-standard optimizations and enhanced prompts, helping you save time and reduce manual effort.
If you’re interested in Smart Process Builder, reach out to your Client Success Manager or Practifi contact.
Follow-up Assistant: Intelligent Action Item Generation
Turn meeting notes into meaningful action. The Follow-up Assistant uses AI to analyze your meeting notes, whether written by your team or generated by an AI notetaker, and suggests contextually relevant action items. These recommendations are tailored to your firm’s unique workflows, ensuring that every follow-up is actionable and aligned with your business processes.

Smarter Task Management and Validation
Some firms create process tasks that launch with a status of Completed, often for compliance-related processes that don’t require user action. We’ve refined the experience around auto-completed tasks, suppressing confusing alerts and replacing them with a clear, dark-themed notification that confirms no further action is needed. Additionally, a new validation warning alerts administrators when a task is configured in this manner, adding another layer of clarity and control to the process setup.
Please note: This validation check is only available at the Process Task level and does not apply to Process Type records.
Improved Active Form Prompt Support
We’re elevating the Active Forms experience by introducing support for prompts within the Pinned Active Form Sections. Users can now create context-rich messages, ranging from success and error alerts to informational guidance, styled with Salesforce Lightning Design System visuals and dynamic merge language. These prompts mirror the configuration process used for Process Tasks and offer a consistent, intuitive interface, including a redesigned related list and configurable display conditions. Plus, new validation checks across Fields, Prompts and Tables ensure a consistent display order within each section.
Expanded ‘Set As Created By Field’ for Data Integrity
We’ve extended the ‘Set As Created By’ field, previously exclusive to Activities, to include five additional objects: Entity, Contact, Deal, Service and Asset/Liability. This enhancement empowers firms to accurately reflect the original creator of a record during data imports and delta loads. The field works in conjunction with the Set As Create Date field and aligns with trigger settings to maintain system integrity while improving transparency.
User Permissions: Simplified and More Secure
We’ve streamlined user permissions to make onboarding smoother and system access more precise. License-based permission set assignments are now automatically applied to new Practifi organizations, reducing manual configuration and improving consistency across environments. Key updates include improved alignment between Salesforce user licenses and Practifi’s standard, administrator and console permission sets, as well as enhanced conflict resolution and assignment validation logic.
We’ve also improved our support for read-only users, introducing broader visibility into both custom and standard objects without compromising data integrity. While these users can’t make changes, they now benefit from unified record access, which is ideal for audit reviews or stakeholder transparency. Although action buttons may still appear in the UI, all permissions are strictly enforced. We’re even exploring interface improvements to make things clearer for these users in future releases.
Deliverables: Greater Precision and Transparency
We’ve improved how Deliverables interact with inactive Services to provide greater clarity and control to task management. Deliverables will now remain inactive unless their parent Service is in an active state — no more prematurely triggered workflows due to draft, canceled or completed Services. This enhancement ensures Deliverables behave consistently with Service status, keeping teams aligned, reducing confusion and supporting more precise task tracking.
Better Tracking of Missed and Canceled Items
Missed and canceled Deliverables are appropriately recorded and easily auditable. Missed fulfillments now display a clear status of ‘Missed’, eliminating confusion with ‘Pending’ labels and offering improved reporting and visibility. For canceled tasks, fulfillment records are preserved with a new Task Canceled status and outcome values, complete with traceable links back to the canceled tasks. These changes enhance accuracy, reinforce audit trails and ensure your team has a complete picture of Deliverable fulfillment history.
Improved Black Diamond Account Name Mapping
We’ve updated our Black Diamond integration to deliver clearer, more client-aligned asset names in Practifi. By prioritizing the Display Name field, an editable, intuitive label used in the Black Diamond portal, asset records now reflect names that are easier to recognize and communicate. This enhancement replaces the previous reliance on system-generated account names, ensuring greater clarity, consistency and confidence across your client-facing data.

Resolved Issues by Product Area
Services and Deliverables
Services and Deliverables have undergone several key improvements to improve accuracy and workflow efficiency. Asset-based Services for new records prioritize the lowest order value and, in case of a tie, the most recent Last Modified Date. Additionally, new asset-based Services are no longer created for lost clients, assets with a $0 value or those in specific stages, such as Disposed, Did Not Proceed, Declined or with a Date Closed, which prevents the creation of redundant or incorrect Service records. Furthermore, tasks associated with Deliverables are now assigned based on the Assignment Type specified in the task template, ensuring that the intended user, such as the Service Owner or Client Owner, receives the task rather than the user who scheduled background jobs. These updates collectively improve data integrity, streamline processes and ensure that the right individuals are assigned to relevant tasks.
Active Forms
Help text is consistently displayed for picklist options, even when those options are presented as button groups. Previously, help text only appeared for traditional dropdown menus, which could leave users without guidance depending on the form’s configuration. With this improvement, users now receive the same helpful information regardless of how picklist options are displayed, supporting a more intuitive experience across all Active Forms.
Task Management
Actions linked to specific outcomes now only run if that outcome is selected, while actions not tied to any outcome always execute, streamlining task processing and reducing confusion. Additionally, a display issue affecting Flow headers on Lightning record pages for task templates has been resolved. Flow headers now appear correctly when the ‘Show Header’ option is enabled thanks to an updated CSS selector. These changes enhance the clarity and consistency of task workflows and user interfaces, improving overall usability.
Miscellaneous
In addition to the enhancements above, we’ve addressed several other issues, including ensuring the Household Members card displays both birthdate and age for each client, refining task action execution logic for greater consistency and improving system behavior when actions are misconfigured or duplicated.
