This release represents a major milestone in Practifi’s vision to help wealth management firms work smarter through purpose-built AI.
Let’s explore what’s new:
Product Enhancements
AI Notetaker: The Power of Integration, Not Just Transcription
AI notetakers have become table stakes for client meetings. Practifi’s new AI Notetaker eliminates friction by living inside your CRM, automatically joining scheduled video meetings with Microsoft Outlook (or by inviting the notetaker to Zoom and Google Meet), capturing conversations and generating summaries that populate Meeting records. Our Follow-up Assistant then analyzes the content to recommend relevant tasks and processes based on your firm’s actual workflows — not generic to-do lists. The result? Documentation plus action — automatically linked to the right client, surfaced to the right team members, and connected to your firm’s processes, with no manual data entry or context switching.
Your team stays present in meetings while the AI captures everything that matters and puts it exactly where it needs to go.
Please note: AI Notetaker requires Microsoft Outlook integration to automatically join meetings. Users must authenticate their Microsoft Outlook account in User Settings before the notetaker can automatically join meetings.
AI Notetaker is part of our Practifi Intelligence add-on. If you’re interested in bringing this capability to your firm, reach out to your Client Success Manager or Practifi contact.
Smart Notes Enhancements: AI Content Blocks and New Templates
Creating personalized client communications shouldn’t require hours of manual work, but traditional CRM notes force teams to start from scratch for every interaction. Building on the foundation of Smart Notes introduced in our Sauvignon Blanc release, we’re expanding this powerful documentation tool with AI Content Blocks and two new pre-built templates designed to accelerate common advisor workflows.
Smart Notes now include AI Content Blocks that automatically generate personalized content — portfolio summaries, meeting talking points, regulatory updates — with complete transparency and configurability, unlike other vendors who hide it behind closed doors.
We’re also shipping two new templates: Meeting Brief (connects interaction history with relevant news for insightful talking points) and Relationship Brief (turns complex CRM data into clean, scannable summaries for advisor transitions). You can customize these templates or use them as blueprints to create your own, freeing your team to focus on relationship-building rather than documentation.
Please note: AI Content Blocks for Smart Notes are part of our Practifi Intelligence add-on. If you’re interested in this functionality, please reach out to your Client Success Manager or Practifi contact.
Intelligence Features Page: Centralized AI Management
As Practifi Intelligence capabilities expand, we’ve made it easier to manage your AI-powered features in one place. The new Intelligence Features Page in the Settings app gives Practifi Administrators a centralized hub to manage Intelligence licenses and configure settings for Follow-up Assistant and AI Notetaker.
Previously, these controls were scattered across multiple locations. Now, everything you need to manage your firm’s AI capabilities lives in one intuitive interface, making it simpler to enable features, adjust settings, and monitor usage.
Campaign Attribution Processing Notifications: Know When Your Data is Ready
When running client appreciation events, seminar campaigns, or referral programs, firms often add hundreds of contacts at once — but have no visibility when attribution processing completes. The new notification system alerts users when campaign attribution processing finishes for bulk operations (25+ contacts) via in-app bell notifications and detailed email summaries with direct links to view attribution records. Your marketing and business development teams now gain full visibility into campaign ROI, eliminating the guesswork.
Enhanced Email Template Selection in Send an Email Action
Configuring email actions in workflows is now faster and more intuitive. The Email Template field now accepts both the Record ID and Developer Name of Lightning Email Templates — eliminating the need to hunt for technical identifiers buried in the Developer Console.
Related Record Field Access for Picklist Field in Active Forms
Active Forms are now more dynamic. Dynamic Picklist fields now support related record population just like Lookup fields. When you select a value from a picklist (like an account), related fields automatically populate with data from that record (like Owner or Value), improving efficiency and data consistency.
Please note: Practifi Administrators should manually update the help text for the “Prefill Form Field” and “Prefill Lookup Location” fields after upgrading. Refer to the Change Log or contact Practifi Support for the updated help text content.
Active Form Field Assignment Warning Fix: Cleaner Validation
We’ve eliminated a confusing warning message that appeared when mapping Active Form fields to Task OwnerId or ActivityDate in subsequent process tasks. Even when the mappings worked correctly, users saw a warning stating “These fields had conflicting data inputs, so a single value was chosen as the saved one,” leading to unnecessary confusion and support requests.
The warning has been removed for these specific field mappings, streamlining the user experience when dynamically assigning task ownership or setting fixed due dates via Active Form fields.
Please note: This fix is specifically scoped to the “Create New Task in This Process” action type and applies only to OwnerId and ActivityDate field mappings. Warning messages may still appear for other action types or field mappings — these warnings are cosmetic, and the underlying field mappings continue to work as expected.
Follow-up Assistant Utility Bar: AI-Powered Insights, Anywhere
Action items captured during client meetings shouldn’t get lost when you navigate away. Users can now access Follow-up Assistant via a utility bar component, providing quick access to AI-powered follow-up suggestions from anywhere in Practifi without leaving the current page. Previously accessible only from the side panel on the Home page and individual Client/Prospect record pages, this intelligent assistant now stays with you as you navigate through Practifi.
Follow-up Assistant now sends bell notifications when new follow-up suggestions are generated, ensuring important action items don’t go unnoticed. Notifications are sent to both the entity owner and the content creator, and clicking them opens the related content in the appropriate view.
Please note: For new Practifi organizations, the Follow-up Assistant utility bar is enabled automatically. Existing organizations must manually add the component.
Black Diamond Integration Enhancements
We’ve strengthened our Black Diamond integration with bidirectional team synchronization, customizable field labels, and flexible External ID mapping—giving firms more control over how data flows between systems and bringing better visibility into team structures. See full details in the technical release notes.
Xplan Integration Enhancements
We’ve improved Xplan synchronization with new ownership tracking for superannuation and retirement income, plus expanded Partner retirement income sync, giving complete household visibility to advisors. See full details in the technical release notes.
Resolved Issues by Product Area
In addition to the enhancements above, we’ve addressed several key issues to improve data accuracy, workflow reliability, and user experience across Practifi:
Data Management
Contact Point records created during initial contact addition now immediately receive the correct ParentId value, ensuring proper sharing rule functionality. Late Deliverable fulfillment now automatically creates fulfillment tasks immediately when the next due date falls in the past, with system notifications alerting users. The Last Fulfillment Date field is now read-only for non-admin users to prevent accidental workflow disruption.
Process Management
Deep cloning now works as an isolated operation — only the cloned process is affected, and other processes keep their original action references without duplication. Process Types and Task Templates now appear only when launched from entities matching their configured “Related To” criteria, ensuring cleaner process selection lists.
Active Forms
The NEXT_N_DAYS date literal now correctly prevents form submission when dates exceed configured thresholds. Lookup fields consistently display only records related to the underlying entity across all form sections. The assignment dropdown now correctly displays queues with the “Queue” label instead of “Group” for task interfaces (currently applies to Task object only; comprehensive fix across all objects planned for future release).
Follow-up Assistant
Fixed an issue where Follow-up Assistant failed to generate suggestions from Smart Notes after updates. The evaluation logic now correctly processes Smart Note changes.
Miscellaneous
In addition to the enhancements above, we’ve addressed several other issues. See them all in the full technical release notes.
